Managing Inventory

Overview

You can search, browse, add, delete and edit stock items from a single screen located under Inventory >> Inventory.

You can also adjust inventory levels, value and find stock which is running low from the same screen.

Product Search

The search is simple: just type the product name, hit Enter or click Search button, and LinnLive will find the product that relevant to your search.

The search is limited to top 500 rows.

If you know which category the product is assign to, you can select it from the drop-down menu.

LinnLive is capable of tracking stock level for the same item in multiple locations, select your product's location from the drop-down menu.

Add new products

You can add new products by clicking Add new item button.

After clicking the Add new item button, just fill in the appropriate fields with your product information and hit the Save button.

Properties

Item number will be generated automatically for you. By default it will create numerically incremental item number staring from 100001, however if your item numbers are mixed up with character based item numbers the system will generate arbitrary character based item number like AAA-BBB-CCC.

Title: Name your product.

Category: Specify the category the product belongs to. In case there is no relevant category present in the list, go to Product Category and create it. 

Description: In order to write a product's description click on Open HTML editor button. Write about the benefits and the features of the product. See the example below. More information regarding HTML editor's functionalities can be found here.

Variations group: The purpose of this field is described in this part of the documentation.

Retail price: The price at which your product will be sold.

Purchase price: The price at which your product was purchased.

Tax rate: Tax rate is the percentage of your taxable income.

Barcode: Specify product's barcode.

Metadata: Enter a brief and concise description of your product. 

Extended properties

Extended properties is a list of custom values that can further describe the stock item. This table is used to create Specification tables when an item is listed on a channel using Linnlive service or create Item Specifics attributes.

Each record in the extended property has a type (predefined in the system), Name of the property and a value. To add new extended property click on the top row, type Name, value and select Type from the drop down list.

Postage descriptor

Here you can specify default postage details, weight and measurements of the package.

Depending on your settings weight can be in kg, oz, pounds etc. Same for dimensions, they can be in cm, inches etc.

Levels

You can specify stock level, stock value, minimum level at the point of entry of the new stock item. 

Current stock level: How many items you actually have in stock.

Current stock value: The system is capable of keeping track of the stock value. Stock value is a dynamically tracked value of the stock – it is determined from the cost of the products you have purchased to populate the stock level and any direct adjustment. This is NOT PurchasePrice x Quantity.

Example: Today you bought 5 T-shirts for $10, your stock value is $10 i.e. each T-shirt in the inventory costs $2. You sold one, the stock value reduces by $2, leaving you with $8. Tomorrow you purchased another 5 t-shirt from the supplier, but paid $5 for them. Your stock value is $13 where each unit costs $13/ (4 was + 5 new) = $1.44

Minimum stock value: To alert the system of the minimum threshold for the stock level.

On order from supplier: How many items are ordered from your product supplier.

Linked title

This section allows you to manage Linked Titles for the given stock items. Linked title is a list of listing names which will automatically linked to this stock item when an order is downloaded from a channel (eBay, Amazon, PlayTrade etc.).

To add new linked title, click Add new title button, enter the SKU (channel sku or custom label) and Item title. To apply the changes click Add button.

There will be a number of titles that have already been downloaded with order data from a channel. The easiest way to add already existing title click Add from existing button, select a title and click Add button.

To delete a Linked Title use Delete title button.

Pictures

In order to add the images, click Browse and select the image from the disk.

You can add up to 3 pictures.
Maximum size per image is 2 MB.

Note: Click Save button prior to uploading images to new product.

Stock history

This section provides last 30 days history of all stock level changes for a particular stock item in a particular location.

There is a possibility to view the stock history as a chart and as a table.

Bulk Image Uploader

With Linnlive you can upload as many images of your products as you wish at once. This can be achieved using Bulk upload image function.

This function allows you to upload CVS file that contains the records of a product’s item number (SKU) and a direct link to an image (ImageURL). 

To upload your CSV file use Bulk image upload button   and select a file on your computer.

In case of successful upload, you will see the confirmation dialog. 

In case SKU number(s) or image URL(s) has(have) been specified incorrectly, you will get the correspondent error messages.

Notes:

• Maximum number of row that Linnlive can process is 10 000.
• Since you can add up to 3 pictures to one product, each SKU can have up to 3 image URLs. In case there are more than 3 images listed in your CVS file with one SKU, then first 3 will be uploaded.
• Supported formats: JPG, JPEG, PNG.
• If a product already contains some images, then current images will be replaced with the new ones. Example: If the product with SKU123 has 2 images and you upload another 2 images with the same SKU number, Linnlive will remove 1 image from your current images and will add 2 new ones, thus, the product will have maximum number of images which is 3.
